Starting an ABA practice comes with a long list of decisions: business formation, licensure, credentialing, hiring, payers, clients, billing, clinical workflows. And somewhere in the middle of all that, you have to figure out your technology.

That’s usually when the tabs start multiplying. One tool for scheduling. Another for clinical data. A spreadsheet for authorizations. Something else for billing. Maybe an AI documentation tool. And suddenly, you’re building a software stack before you’ve even finished building the practice.

So let’s simplify the question: what software does a new ABA practice actually need?

For most new and small ABA practices, you need technology that can reliably support six core areas:

Scheduling
Clinical workflows
Documentation
Authorizations
Billing
Practice visibility

You can manage those areas through one platform or several specialized tools. The key is choosing a setup your team can use today and that won’t become an operational headache as your practice grows.

Here’s what to look for.

First: software doesn’t make your ABA practice “ready”

Before we talk about technology, there’s an important distinction: ABA software can help you operate your practice. It does not replace the legal, professional, payer, or enrollment requirements involved in opening one.

Depending on where and how you practice, you may need to address:

Business formation
State behavior-analyst licensure requirements
Professional credentials
NPIs
Payer credentialing
Medicaid or managed-care enrollment
Staff qualifications
Insurance
Privacy and security requirements
State- and payer-specific documentation rules

Many U.S. states regulate the practice of behavior analysis, but the requirements are not identical everywhere. That means one of your first startup tasks should be checking the rules that apply in every state where you intend to provide services. The same principle applies to payer requirements.

Your software should help support your operation. It shouldn’t be a substitute for understanding the rules your practice must follow.

1. Scheduling that can survive your growth

Scheduling looks easy when you have a few clients, a few clinicians, and a manageable calendar. Then growth happens.

Now you’re coordinating RBT availability, BCBA schedules, clients, locations, home-based sessions, center-based sessions, cancellations, supervision, authorized care, rescheduling, and staff changes. That’s when a basic calendar can stop feeling like enough.

What should you look for?

Ask whether your scheduling system can connect the people, sessions, and information your practice actually needs.

Can staff quickly understand where they’re supposed to be?
Can your team see the client and session information they need?
Can scheduling work alongside authorization and utilization information?
Can staff move naturally from the schedule into their clinical workflow?

And most importantly: will the scheduling process still make sense when your team is three times larger? Don’t evaluate only for the practice you have on opening day. Evaluate for the practice you’re trying to build.

2. Clinical workflows your BCBAs and RBTs can actually use

This is where ABA-specific software evaluation matters most. Your clinical team may need workflows supporting programs, targets, trials, frequency, duration, interval recording, ABC data, task analysis, progress tracking, documentation, and clinical review.

But checking those features off a list isn’t enough. The more important question is: what does using them actually feel like?

During a demo, ask: “Show me exactly what an RBT does during a normal session.” Then ask: “Now show me what the BCBA sees and reviews.”

Don’t let the entire product demonstration happen from the owner dashboard. Look at the experience your clinicians will use repeatedly.

Can an RBT quickly get to the right client and session?
Is data entry practical?
Is important information easy to find?
How does the BCBA review clinical work?
What happens when something needs correction?

And test the actual devices your team will use. If clinicians will be providing home- or community-based services, ask to see the phone or tablet experience. Walk through: open session, enter data to complete documentation, finish session. If your staff may work in areas with inconsistent connectivity, ask what happens when a connection is interrupted.

A beautiful platform doesn’t help much if your clinicians struggle with it every day.

3. Documentation that doesn’t become its own department

Documentation can feel manageable when you’re small: a few clinicians, a few sessions, a few notes to review. Then your practice grows, and documentation is happening across dozens, or eventually hundreds, of sessions. Small inefficiencies become much more visible at scale.

When you’re evaluating ABA software, look at the entire documentation process. Ask:

How is documentation created?
How does clinician review work?
Can drafts be corrected easily?
How are incomplete items identified?
How do signatures or required reviews fit into the workflow?
What happens after documentation is completed?

You want to understand more than “does the system have notes?” You want to know: “How does documentation move from session work to finished work?”

What about AI-assisted documentation?

AI can be useful. But “it has AI” is not enough reason to buy software.

Ask exactly how the AI works. What information does it use? What does it generate? Who reviews the output? Can clinicians edit the draft? Where does the completed documentation go next? How is the information handled?

If a vendor claims major time savings, ask whether they have evidence supporting that claim. And be cautious with promises such as guaranteed compliance, perfect documentation, or no denied claims. AI can assist documentation. It should not remove appropriate clinician review or professional responsibility from the workflow.

The useful question isn’t “does this platform have AI?” It’s “does the AI actually make our documentation workflow better?”

4. Authorization management before it becomes urgent

Authorization management isn’t usually the feature founders get excited about during their first software demo. Then the practice starts seeing clients and suddenly it matters a lot.

If your payer mix requires prior authorization, your team may need to keep track of approved services, effective dates, expiration dates, utilization, remaining units or hours, reauthorization needs, and other payer-specific requirements. The exact rules depend on the payer, plan, state, and service.

That’s why your evaluation should be specific. Don’t just ask “do you support authorizations?” Ask: “show me how authorization information works with the payers we expect to use.” Then ask:

Can we quickly see what’s approved?
Can we understand utilization?
How do we know when something needs attention?
Does authorization information connect with scheduling or delivered care?
What happens when an authorization is approaching an important limit or date?

The goal isn’t for software to magically remove payer complexity. The goal is to make important information easier for your team to see before it becomes an operational problem

5. Billing software isn’t enough. Look at billing readiness.

Almost every new ABA practice eventually asks: “What billing software do we need?” That’s a good question. But there’s a question that comes before the claim: “Is this session actually ready to bill?”

A session may have occurred, but work can remain. Documentation may need completion. A signature may be required. Clinical review may still be needed. An authorization concern may exist, or another payer-specific requirement may need attention.

So don’t just ask software vendors, “Can you create claims?” Ask: “If a completed session isn’t ready to move forward, can our team quickly see why?”

That’s a much better test. Your billing team shouldn’t have to discover every problem at the end of the workflow. The earlier your team can see something needs attention, the easier it may be to address.

6. Reporting that helps you run the practice

When you have five clients, you may feel like you know what’s happening everywhere. You probably do. When you have 20 clients, 50 clients, multiple BCBAs, dozens of RBTs, and a much larger schedule, that becomes harder. That’s where reporting and analytics start becoming much more valuable.

A growing practice should be able to answer operational questions such as:

What’s being scheduled?
What’s actually being delivered?
How is utilization looking?
Where is documentation incomplete?
Which items need review?
Are authorization issues developing?
What work is ready to move forward?
Where are operational bottlenecks appearing?

Your software doesn’t need to turn you into a data scientist. It should make the important questions easier to answer. If you need three exports and a spreadsheet every time you want to understand your practice, that’s a red flag.

7. Security and access controls you understand before signing

Security may not be the most exciting part of choosing ABA software. It’s still essential.

Depending on the services your organization provides and the transactions it conducts, HIPAA may apply to your practice. CMS explains that healthcare providers who conduct certain HIPAA-standard electronic transactions are covered entities. When a software vendor accesses or handles PHI on behalf of a covered entity to provide its services, the vendor may act as a business associate, which may require an appropriate Business Associate Agreement.

So don’t let the security conversation stop at “we’re HIPAA compliant.” Ask practical questions:

Will a BAA apply to our relationship?
How is user access controlled? Can permissions vary by role?
What audit capabilities are available?
How are employee accounts disabled when someone leaves?
How is information protected? How are backups handled?
What happens during an outage?
How can we export our data? What happens to our information if we leave the platform?

That final question matters. You don’t only need to understand how your data enters the system. You also need to know how to get it back.

So… do you need one ABA platform or several different tools?

This is where the real software decision begins. There are two basic approaches.

Approach 1: Build your own software stack

You might choose a scheduling tool, a clinical platform, a billing system, an authorization spreadsheet, a separate AI tool, and additional reporting tools. That can make sense, especially when a specialized product solves a critical need better than broader platforms.

But every additional system can also mean another login, training process, subscription, vendor relationship, data handoff, integration, workflow and potentially another place where information has to be entered or checked.

Approach 2: Use a more connected ABA platform

Instead of selecting a different tool for every workflow, you use a platform that connects more of the operation: scheduling to clinical work to documentation to authorizations to billing to analytics.

For a new or small practice with limited administrative resources, fewer disconnected systems can be attractive. But don’t buy something simply because it says “all-in-one.” Make the vendor prove that the workflows actually connect.

Walk through the sequence:

Documentation – how is documentation created and completed?
Review – what does the BCBA see?
Billing readiness – how does the team know the work can move forward?
Reporting – what can leadership see afterwards?

If the vendor can show you a clear workflow, you’ll understand much more about the software than you would from a 100-feature checklist.

No single answer works for every practice. Your choice depends on your clinical model, team, payer mix, state, workflows, budget, billing approach, and growth plans.

Here’s a practical comparison checklist:

Support	What happens when we need help?
Growth	Will we still want this software when the practice is much larger?

The mistake to avoid: buying only for opening day

Imagine you’re launching with 1 BCBA, 3 RBTs, and 5 clients. Almost anything can feel manageable at that size. You know everyone. You can personally check things. You can fix problems manually.

But ask yourself: what happens at 20 employees? What happens at 50 clients? What happens when I can’t personally check every note, authorization, schedule, and billing issue?

This doesn’t mean a new practice should buy an expensive enterprise system it doesn’t need. It means you should consider growth before you make the decision. Start small without choosing software you’ll immediately outgrow.

So, what software do you actually need?

At minimum, your technology strategy should give your practice a reliable way to manage scheduling, clinical workflows, documentation, authorization-related work, billing, reporting and operational visibility, and security and user access.

Whether those capabilities live in one platform or several tools is your decision. But don’t evaluate them as seven completely unrelated purchases. Think about how one session moves through your entire practice. That’s where the hidden work often appears and that’s where the right technology can make the biggest operational difference.
